How do I book a tour?

Do you have a travel brochure?

  • We do not have a printed travel brochure. All of our tours are listed on warthertours.com where you can find the itineraries and pricing.

 


Booking and Cancellation


Can I cancel or reschedule my tour after booking?

  • Yes, you can cancel or reschedule your tour up to the refund date of the tour.

What is your refund policy?

Full refunds are given for cancellations based on tour type.

  • Standard bus tour = 45 days from tour departure
  • Tour with flight = 75 days from tour departure
  • International tour with flight = 105 days from tour departure

How can I make payments for my booking?

  • Payments can be made with check, cash, or credit card. We can also take payments conveniently made through our secure online portal. Visit warthertours.com and click Pay to start your online payment.

When will I receive the itinerary and detailed information about the tour?

  • For all tours, you will receive the final itinerary and detailed information about three weeks before your tour departure. For our larger tours, we also hold a pre-travel meeting where itineraries are handed out and any last-minute questions can be addressed. Details of this meeting will be sent to you in advance.
  • We have an app called Vamoos that provides information for your tour. Information about downloading the app and tour information will be emailed to you before the tour departure.

 


During the Tour


What should I bring with me on the tour?

  • We recommend bringing comfortable walking shoes, a hat, sunscreen, a water bottle, and a camera. For specific tours, additional items may be recommended.

How many bags can I have for the tour?

  • You will be able to have one checked bag, a carry on bag, and one personal item(purse, backpack, CPAP).

Is there baggage service on the tours?

  • Yes we include baggage service at hotels when available. The checked bag will be delivered to your room. Your carry on and personal bag will be your responsibility.

Are meals included in the tour?

  • Please check the tour specific itinerary on what is listed for included meals.

How often do you make stops on the tour?

  • To ensure you have a comfortable journey, we make comfort stops approximately every two hours. These stops allow you to stretch, use restroom facilities, and grab refreshments.

Are gratuities included for the driver and guides?

  • Yes, gratuities for the driver and guides are included in the cost of all our tours. You do not need to worry about additional tipping unless you wish to provide something extra for exceptional service.

  • Your safety is our top priority. We partner with certified vendors who adhere to the latest safety standards. All our tours follow local health and safety guidelines, and our guides are trained to provide first aid and emergency response.

Are your tours accessible to people with disabilities?

  • We strive to make our tours as accessible as possible and work with facilities that meet or exceed accessibility standards. Please contact us in advance with your specific needs so we can ensure your tour is comfortable and accessible.

Can you accommodate dietary restrictions?

  • Yes, we can accommodate most dietary restrictions. Please inform us of your needs when you book your tour, so we can ensure the appropriate arrangements are made.

Can you assist guests with mobility needs?

  • We are committed to making our tours accessible to everyone. If you have specific mobility requirements, please contact us prior to booking to discuss whether the tour can accommodate your needs effectively. Our tour directors are here to ensure you have a wonderful travel experience, but they are not able to provide personal caregiving services. If you require assistance with mobility, medical needs, or personal care, we kindly ask that you travel with a companion who can help. All travelers must be able to manage their own daily needs or have someone with them who can provide the necessary support.

 


Flights and Travel Arrangements


Do you book flights for the tours?

  • Yes, we can arrange flights for your tour as part of our comprehensive travel service. Please let us know your departure city, and we will find the best available flights that fit the tour schedule.

How are flight costs calculated?

  • Flight costs are determined by the airline, destination, booking time, and availability. We strive to find the most cost-effective and convenient flight options for our travelers.

Can I use my frequent flyer numbers or benefits when booking flights through your company?

  • Absolutely! Please provide your frequent flyer details when you book your tour, and we will ensure that they are applied to your flight reservations.

Can I book flights using my own points or airline credit?

  • If you prefer to use your own airline points or credit, you will need to book your flights separately. However, we can assist you in determining the optimal time frame for booking to align with the tour schedule. Please contact us for guidance.

How does the group air package work?

  • Our Group Air Package offers an all-in-one solution for your travel, which typically includes airfare, airport transfers, and occasionally hotel accommodations, depending on the flight time. Please note that with group airfare, we are limited in what we can customize. We are unable to select specific seats, request upgrades, or make individual flight adjustments. If you prefer more flexibility in your air travel, we can book your flights separately from the group or you are welcome to book your own flights independently.

 


Tour Protection


Do you offer tour protection?

  • Yes, we offer travel protection through Travel Guard, which provides comprehensive coverage, including pre-existing conditions. The cost of the travel protection plan is 7.2% of the total tour cost.

What does travel protection cover?

  • Travel Guard covers a variety of situations, including trip cancellation, trip interruption, medical expenses, baggage loss, and more. One of the key benefits is that pre-existing conditions are covered if the protection is purchased when you deposit for the tour.

How do I purchase travel protection?

  • Travel protection can be added when you book your tour.
